Billing and Invoicing Practices for Accounting Firms

Clienter Team

A firm's billing process begins before it sends an invoice. The client needs to understand what work is covered, how additional work is agreed, when charges will be raised and whom to contact with a question. A clear process is more useful than an unverified promise that software will eliminate late payments.

Set expectations at the engagement

Record the fee basis and billing cycle in the appropriate agreement. Make the distinction between included work and a new request visible to the person delivering the service. If time is billed, agree on how it is recorded and reviewed. If the scope changes, obtain the right approval before treating it as billable work. The AICPA and CIMA's engagement-letter guidance treats scope and sometimes rates as matters to settle with the client.

Check before sending

Use a short invoice review: correct client and entity, agreed service and period, approved rate or fixed fee, supporting time or milestones, tax treatment reviewed by the appropriate professional, payment terms and contact for questions. Separate invoice preparation from approval when the firm's size allows. A mistake is easier to correct before the client sees it.

Track questions as well as payments

An overdue invoice may reflect a missing approval, unclear scope, wrong recipient or genuine payment delay. Record the reason and owner of the next action. Follow up through an agreed channel, with a factual reference to the invoice and an invitation to resolve a dispute. Do not assume that automated reminders, payment gateways or AI predictions are present in the firm's service workflow tool. Test those functions in the actual billing product if they are required.

Illustrative example: a client questions an added advisory charge. The account owner checks the signed scope and the recorded approval for extra work before replying. If the charge was not agreed, the firm corrects the invoice through its billing process. The client should not receive repeated collection reminders while the underlying question is unresolved.

Review a small set of recent invoice exceptions each month. Ask whether the problem began at scope, time capture, invoice review or follow-up. The answer determines the fix. Clienter can help coordinate service tasks and time records according to its current product description; explore the platform for that operational layer, while keeping invoicing and payment claims tied to your chosen accounting system.
