AI-Powered OCR for Document Management: What It Can and Cannot Do

Clienter Team

A scanned PDF may look readable to a person while its words remain inaccessible to search. Optical character recognition (OCR) can add a text layer; Adobe's OCR guidance also advises reviewing the result for accuracy and completeness. That review matters when a mistaken digit or name could affect client work.

Start with the document, not a promise

Choose a small sample of the files your firm actually receives: a clear PDF, a photographed page, a table and one poor-quality scan. For each file, test whether the tool can find the right client and period, extract the fields you need, and preserve a readable original. Check difficult names, dates, amounts and handwritten marks manually. A searchable document and a verified document are different outcomes.

Set a simple acceptance rule before processing a large batch: who checks extracted values, what happens when confidence is low, and where the original and corrected version are stored. Do not use an OCR result as a final accounting entry, compliance conclusion or authorization to pay without the firm's normal review.

Keep the surrounding workflow explicit

OCR is one component of document handling. Version control, permissions, client requests, approvals and retention rules require their own design and may live in different tools. For example, a team can record that a client uploaded a bank statement, ask an owner to check whether it is the correct month, and only then mark the request complete. This sequence is a proposed working method; it does not depend on automatic extraction.

When comparing products, ask a vendor to show your sample files and explain the exceptions: unreadable pages, duplicate uploads, wrong periods and corrected versions. Confirm where the extracted data goes, who can access it, and whether you can retrieve the source file. Avoid accepting a “works on every document” demonstration based on a perfect sample.

Clienter publicly describes client file spaces and structured file requests, rather than an OCR service. If document collection is your bottleneck, explore that workflow and verify any separate OCR requirement with the actual provider.
