Client Onboarding Checklist for Accounting Firms

Clienter Team

Onboarding begins when a potential client agrees to work with a firm, but delivery should not begin on a vague “yes.” The team needs a confirmed scope, the right records, a named owner and a first milestone. This checklist turns the handoff into work people can actually follow.

Before work starts

1. Confirm acceptance and scope. Route independence, conflict, professional eligibility and engagement-letter questions through the firm's qualified people and current rules. Record the approved service, entity, period, deliverables and exclusions. A task checklist does not replace a signed agreement.

2. Name the contacts. Identify the client decision-maker, the person who will provide files, the firm owner and the reviewer. Say which channel each should use and when a response can be expected. Do not make an unnamed team inbox the sole owner of a deadline.

3. Create a specific input list. Ask for each required document with its period, version, deadline and approved submission channel. Explain why it is needed. For sensitive financial and tax information, use the firm's approved access controls; do not ask for more personal data than the engagement requires.

During intake

4. Check what arrived. Separate “received” from “accepted.” A file can be present but outdated, unreadable or for the wrong entity. Assign a person to review it and send one precise correction request when necessary.

5. Set the first workflow. Create tasks for preparation, internal review, client questions and delivery. Give each a responsible owner and an achievable date. Record dependencies so a missing client input does not appear as staff delay.

6. Introduce the working method. Show the client where to find requests and updates, how to submit files, and whom to contact when something changes. Keep internal-only notes separate from client-visible information. Confirm that the client can use the chosen channel rather than assuming a portal login is effortless.

At the first milestone

7. Review and close intake. The service owner checks that the team has what it needs, notes unresolved exceptions and confirms the next client update. If the scope changes, seek the authorized decision before adding work. Ask the client one or two useful questions about the clarity of the onboarding experience; act on a pattern, not a single vague score.

Illustrative example: a new client uploads bank statements for the wrong entity. The coordinator marks those files received but not accepted, asks for the correct entity and tells the preparer which other setup steps can continue. The review date is revisited openly.

Clienter describes reusable service workflows, tasks and structured file requests. Explore the platform with this checklist, while retaining specialist accounting and engagement controls in their proper systems.
