Accounts Receivable Automation: Start With the Exceptions
Clienter Team
An accounts receivable process has several points at which a payment can stall: the invoice may be late, sent to the wrong contact, questioned by the customer or awaiting an internal decision. Automation can help track a defined step, but it cannot make every invoice correct or every customer pay on time.
Map the current path
Write down how a service is approved, how an invoice is prepared, who reviews it, how it is delivered and how payment is recorded. Name the owner of a dispute. If the firm manages receivables for a client, distinguish the client's authority from the firm's service role. Confirm invoice terms and tax treatment in the appropriate accounting process.
A useful status list might include draft, approved, sent, queried, due, overdue and settled. Those are suggested working labels, not Clienter interface labels. Define the evidence that moves an invoice between them. A reminder should not go out on a disputed invoice until someone has reviewed the issue.
Test the exceptions
Pick a few past invoices: one paid normally, one sent with an error, one disputed and one paid against a different reference. Ask whether the proposed billing system can show the original invoice, correction, communication and final payment. If it sends automatic reminders, test timing, recipients and how a human pauses the sequence. Compare receivables measures before and after a pilot rather than assuming a fixed improvement.
Illustrative example: a client questions a billed service. The account owner checks the approved scope, finds that the invoice used the wrong period, and asks the billing team to correct it. The reminder is paused while the query is open. This is a process choice, not a claim that Clienter performs collections.
Review the handoff
Track where invoices become delayed: before issue, in client approval, in dispute resolution or after the due date. Assign a fix to the actual bottleneck. Keep the accounting ledger and payment gateway distinct from the service workflow; verify any integration in the chosen products.
Clienter publicly describes service tasks and time records. Explore its operations scope if the coordination around billing is your problem; confirm invoicing and collections elsewhere.
